QuickBooks Online integration guide

The "Able Software" app for the QuickBooks Online Accounting API

What it does

The Able Platform gives your team an AI assistant that works with the tools you already use. Connecting QuickBooks Online lets the assistant work with your company's books through Intuit's Accounting API — it reads your chart of accounts, items, customers and invoices, and, when you ask, it posts to your books: it creates invoices and items, posts journal entries (corrections, accruals, reclassifications and bank-reconciliation adjustments), and creates or updates chart-of-accounts accounts.

It uses the Accounting API only — it asks for no QuickBooks Payments access, so it touches no card data, and it never touches payroll. It reads and writes only the QuickBooks company you connect. Every posting, and every destructive change (deleting a journal entry, creating or renaming an account), is treated as an action a person confirms: the assistant proposes the exact change and posts only on your go. Nothing it reads is ever sold, shared with third parties or used to train AI models.

Requirements

  • An account on an Able Platform application (your organization's Able workspace), with an administrator to authorize the connection.
  • A QuickBooks Online company, and a QuickBooks admin who can approve the connection.

Connect QuickBooks Online

  • Sign in to your Able application as an administrator. Open Admin → Connections (the direct address is /admin/connections on your application's host).
  • Choose QuickBooks Online and click Connect.
  • Intuit opens its own sign-in. Sign in to QuickBooks and choose the company you want to connect, then approve the accounting access.
  • You return to Connections with the company listed as Working, shown as QuickBooks (<your company>) — no keys to paste, nothing to configure.
  • A second company is a second connection: click Connect again and choose the other company.

What Able reads and writes

The connection requests a single scope — QuickBooks Online Accounting. Through it the assistant reads the company's books, and posts to them only when you approve.

What it reads

Chart of accounts
your general-ledger accounts and their types and numbers.
Items
your products and services (SKUs) and their details.
Customers
your customer records.
Invoices
your invoices, their lines and their status.
Company & preferences
the company's name, country and fiscal year, and its accounting preferences.
Reports & queries
any accounting figure through QuickBooks' own query language — the numbers behind a P&L, balance sheet or trial balance.

What it posts — only on your go

Journal entries
post an adjusting, accrual, reclassification or bank-reconciliation entry (debits must equal credits); delete one only where erasure is the honest fix, which the assistant asks you to confirm first.
Invoices
create an invoice for a customer.
Items
create a product or service.
Chart of accounts
create a new general-ledger account, or rename, renumber or deactivate one.

The connection asks for the accounting scope and nothing more: no QuickBooks Payments (so no card data), no payroll, no Sign in with Intuit.

Use it

Open the assistant with the AbleClaw button in the top bar (or the chat icon in the left rail) and ask in plain language, for example "show my chart of accounts", "list my open invoices", "what's the balance on account 6000 this month", "draft a journal entry to reclassify $1,200 from marketing to travel" or "create an invoice for Acme". The assistant reads straight away; before it posts anything to your books it shows you the exact entry and waits for your go.

Disconnect

  • In the Able Platform: open Admin → Connections, open the QuickBooks connection and choose Remove. Able revokes the grant at Intuit and deletes the stored credential immediately, so it can reach that company's books no further.
  • In QuickBooks Online: open Apps → My Apps, find "Able Software" and choose Disconnect. This ends the connection on Intuit's side, and Able detects it on its next request.

Either side ends the connection. If you connected more than one company, each is disconnected on its own — the others keep working.

Data handling

Able keeps only an encrypted refresh token for the connection; short-lived access tokens are never stored. Your QuickBooks data is read or written only to perform the task you asked for, is never sold, shared with third parties or used to train AI models, and is encrypted in transit and at rest. Each company's data belongs to that company's Able workspace. When you remove the connection, Able revokes the grant at Intuit and deletes the stored credential. Details are in our Privacy Policy; deletion requests go to privacy@ablesoftware.io.
